Job Description:

Manage the calendar of the Associate Provost; responsible for the daily activities of the Associate Provost, screen and prioritize requests for appointments, schedule meetings related to office activities, prepare related materials for meetings and/or presentations. Ensure meetings are placed or removed from the calendar appropriately and ensures the Associate Provost is kept on track with his/her schedule at all times. Ensure meeting participants are welcomed to the office and announced appropriately. Handle phone calls, visitors, and other communications for the office.

Support for the additional administrators in the office including the Associate Director of Accreditation, the Assistant Provost for Curriculum, the Director of Institutional Assessment, and others in the office. This includes providing support for the Academic Assessment Committee by preparing agendas, taking meeting minutes, and other arrangements needed for the committee. Additional support includes managing meeting requests and securing locations and necessary accommodations for group meetings.

Make appropriate travel arrangements, which may include conference registrations, securing flights and rental cars, and preparing travel authorizations and travel reimbursements for the Associate Provost and others in the office.

Manage events related to the activities of the office which may include scheduling the venue, catering, equipment, preparing related materials, and as needed manages program registration for events.

Preparing agenda, setting up meeting location, and taking minutes for ACUA meetings run by Associate Provost.

Provide back-up assistance to Institutional Assessment with the university’s accreditation and assessment software, currently provided through Anthology.

Other duties as required or appropriate, including taking minutes for curriculum committees upon request.

Expected Salary:

Commensurate with education and experience.

Minimum Requirements:

Bachelor’s degree and five years of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:

Experience working in a higher education setting.

Excellent organizational and interpersonal skills.

Proficiency across the Microsoft Office Suite and Adobe. Ease with learning new programs.

Excellent written and verbal communications.

Excellent attendance and professionalism.
