Kansas Employer Assistant to the Health Director - Health in Wichita, Kansas

The Assistant to the Health Director supports the Sedgwick County Health Department (SCHD) administrative functions to ensure staff can prevent disease, promote wellness and protect the public from health threats. The position supports the Health Director, coordinates grants and other items through the county approval process, and coordinates SCHD policies and procedures. The position writes and reviews documents and emails and regularly communicates by phone and through email with SCHD staff, County departments, community organizations and businesses, and the public. During public health emergencies, the position will fill a functional seat in the county or department emergency operations center.

Provide direct executive administrative support for Health Director

  • Keep Health Director calendar current, scheduling meetings and communicating changes
  • Monitor Outlook email of Health Director, ensuring timely responses
  • Coordinate cross-divisional assignments and consolidate responses for Directors approval
  • Coordinate and participate in Health Department meetings and activities. Prepare meeting minutes and distribute
  • Review Health Department written materials prepared by staff
  • Serve as Kansas Open Records Act (KORA) Officer for the Health Department
  • Serve as back up PPS Purchasing Authorizer

Prepare and coordinate Health Department Board of County Commissioner (BOCC) Meeting Agenda items.

  • Maintain electronic master file of current and historical agenda item documentation
  • Facilitate agenda items through the County process
  • Update status of all agenda items weekly
  • Coordinate documentation needed and ensure an updated, written process
  • Communicate with other County Departments when necessary to ensure agenda items are completed
  • Regularly review County resolutions and understand procedural expectations

Coordinate and communicate Health Department policy and procedure development, organization and annual reviews

  • Maintain database of all current and historical Health Department policies, procedures, protocols, and associated documents
  • Maintain tracking system to monitor and track status changes of policy revisions and new policy assignments
  • Write and review drafts before routing to Health Director for final approval
  • Coordinate annual Leadership Team policy and procedure review, annual staff policy review, and annual safety policy review
  • Communicate policy and procedure changes to all staff

Minimum Qualifications: Associates degree from an accredited college in business administration, communications, or other related field or be equivalently qualified by work experience or a combination of work experience and education, with one year of experience substituting for one year of education. Two years of experience in administrative work, including experience in written business communications. One year of experience with Microsoft Office Suite or equivalent word processing, presentation and spreadsheet experience. Must complete Federal Emergency Management Administration (FEMA) IS 100, 200, 700 and 2200 courses within 30 days of employment and complete G 191 within one year of employment. Additional trainings may be required.

Preferred Qualifications: Bachelors degree from an accredited college in public health, business administration, communications or other related field. Three years of work experience in writing and editing business documents. One year of work experience writing procedures and policies. One year of work experience in a public health department or healthcare setting. Two years of experience in Executive Support.
